Terms of Registration

These terms apply when you register for an event organised by AEGEE Toulouse, whether the event is free or has a price. This is version 2026-08-v2, and it applies to registrations made from the date below.

These terms are those of AEGEE Contact in Toulouse, a French non profit association governed by the law of 1 July 1901, with its registered office at 17 rue Sainte Catherine, 31400 Toulouse, France.

What these terms cover

They cover registering for an event organised by AEGEE Toulouse, whether the event is free or has a price. By ticking the box at the end of the registration form, you accept them. You cannot complete a registration without doing so.

We are an association, not a shop. Where an event has a price, that price is a contribution to what the event costs us to run, and it is asked of members only. It is not a sale to the general public.

You need to be a member, and over 18

Our events are open to members of AEGEE Toulouse. Membership is free and open to anyone who shares our values. If your email address is not on our membership list, the registration form will tell you and point you to us on Instagram.

You must be 18 or over to register for any of our events. Some of them serve alcohol, and we prefer one clear rule to a rule that changes from one event to the next.

Registering, and when your place is confirmed

You register on our website, with the email address attached to your membership. Your place is confirmed when you see the confirmation on screen and receive the confirmation email, and, for a paid event, once the payment has gone through.

Places are limited, and they are taken in the order registrations arrive. If an event is full you can join its waiting list.

When a place opens up we email the first person on the list. That invitation does not expire on a timer, but it does not reserve the place either: a few minutes later we invite the next person too, then the next, until someone takes it. The place goes to whoever claims it first. On a paid event, once someone starts paying, the place is held for them for the time it takes to finish, and the invitations resume if they do not.

Prices and payment

Prices are shown in euros, all taxes included, on the event page. The price that applies is the one shown when you register.

Payment is made by card through Stripe, our payment provider. You are taken to a Stripe page to pay and brought straight back to our site afterwards. We never see or store your card details.

What each price covers is written next to it on the event page. Anything not written there is not included.

Travel is not included

Our day trips and outings are gatherings, not organised travel. We tell you where and when to meet, and we are there with the group, but you buy your own travel ticket and you travel under your own responsibility. The price of the event, when there is one, never covers your transport.

For some day trips we ask you to upload proof that you have bought your travel ticket. Places on these outings are limited, and we would rather hold them for people who have already made the trip possible.

There is no cooling off period

Under article L221 28 of the French Consumer Code, leisure activities and catering services supplied on a specific date are not covered by the fourteen day right of withdrawal that applies to most distance purchases.

Our events happen on a set date, so once you have paid, you do not have a right to change your mind and be refunded. Please read the next section before you book.

Cancelling your place, and refunds

Cancelling is easy and always possible. Your confirmation email contains a link that cancels your place in one click. Please use it as soon as you know you cannot come: it frees the place for the next person on the waiting list, and that is the whole reason we ask.

A paid registration is not refunded as of right. We often commit the money before the event happens, on food, on bookings, on people we have given numbers to.

If something has come up, write to us at contact@aegeetoulouse.com before the date of the event and tell us what happened. We look at every request and we refund when we reasonably can. We may also decline. After the event has taken place, we do not refund.

If you don't come, and haven't cancelled

Places are limited, and a place nobody uses is a place someone else could have had. If you register for an event and do not attend, without cancelling at least 24 hours before it starts, the association reserves the right to pause your ability to register for new events for one month.

This is not automatic. We check attendance by hand, on the day, against the list of people registered: there is no automated tracking and no record kept beyond that check.

If we cancel or change an event

If we cancel an event, or move it to a date that no longer suits you, you are refunded in full and automatically. You do not have to ask.

Small changes happen: a venue that moves a few streets away, a start time that shifts by half an hour. We tell you by email as early as we can. These do not give rise to a refund.

Your place is personal, but you may pass it on

Your place is registered in your name, and we write only to the email address you registered with.

If you cannot come and a friend who is also a member takes your place, that is between the two of you and we do not need to know. Bear in mind that everything we send about the event, including any last minute change and the cancellation link, goes to your address only. Passing that information on is up to you.

Behaviour

Our events are meant to be welcoming, to everyone. We may refuse entry to, or ask to leave, anyone whose behaviour puts that at risk or endangers others. No refund is due in that case.

Your personal data

What we collect when you register, why, how long we keep it and what rights you have are set out in our Privacy Policy, linked at the bottom of every page. Where an event asks you a specific question, such as a dietary requirement or proof of a travel ticket, the answer is used for that event only and kept no longer than the policy says.

Telling us about a dietary requirement helps us and we are glad to know, but it is not a promise. Unless the event page says that a diet is catered for, please assume that it is not.

Changes to these terms

We may update these terms. The version that applies to your registration is the one you accepted when you registered, and we keep a record of it. A new version applies only to registrations made after it is published.

Law, and what to do if something goes wrong

These terms are governed by French law.

If you are unhappy with something, write to us first at contact@aegeetoulouse.com. We are a small association run by students, we read everything, and almost everything is settled that way. If it cannot be, the courts of Toulouse have jurisdiction.
